The Office of Compliance is an independent Agency within the Legislative Branch, which was established to implement and enforce the Congressional Accountability Act of 1995 (CAA). The CAA generally extends the rights and protections of thirteen employment and labor laws to covered employees in the Legislative Branch of the Federal Government.
The Legal Assistant/Legal Secretary works with the General Counsel of the Office of Compliance performing various administrative and data entry duties. The incumbent will maintain the General Counsel's case files, proofread and finalize briefs and reports, serve parties with notices and reports, receive and process documents filed with the office, handle routine telephone inquiries, schedule appointments as appropriate, and provide backup services to administrative assistants in the office which will involve working with other Office of Compliance programs to conduct various administrative, telephone, and data entry duties. The successful applicant is very well organized, performs duties in a timely and competent manner exercising sound judgment, works independently and cooperatively, communicates in a clear and courteous manner, and shows a willingness to achieve and innovate.
Duties
The legal assistant/legal secretary will:
- ensure that all files in the General Counsel's office are well maintained with documents timely filed in appropriate electronic files and paper file jackets;
- proofread and finalize letters, reports, and briefs and serve the final copies on appropriate parties;
- prepare and send outgoing correspondence and emails;
- answer telephone inquiries and serve as back-up and relief telephone receptionist for the front of the office;
- receive, time stamp, and file all documents and emails sent to the General Counsel;
- coordinate logistics for opening and closing conferences, meetings, events, and hearingsas needed;
- place meetings and events on the office calendar as required;
- maintain the open/closed files data base, the chron files, and other files as assigned;
- serve as administrative assistant for attorneys and inspectors;
- enter and analyze data, perform quality control, and generate reports using relational databases;
- maintain and organize paper and electronic files;
- work with staff to communicate with members of the public; and assist with other administrative duties in the office as necessary.
