Keeping Ontario's Legislative Assembly running smoothly takes many talented people, doing many different jobs—from camera operators and committee clerks, to purchasing officers and researchers. The Office of the Assembly is mandated to provide non-partisan support to the Members of Provincial Parliament (MPPs).

Together, we provide administrative and procedural services to all MPPs, as well as operational support for the daily activities of the Legislative Assembly of Ontario. What can I expect to do in this role?

The Legislative Assembly of Ontario seeks a Records and Document Management Administrator who, as part of our Information Services Branch, in Toronto, ON, will maintain our corporate memory, find records, manage email, and meet legal and privacy requirements.

What You'll Do
You'll act with integrity to:
• Foster a climate conducive to excellent Records and Document management in the Assembly
• Work collaboratively with internal branch and teams
• Demonstrate tact, discretion and sensitivity to the political environment

You'll support our community as you:
• Provide advice, training and support to Assembly staff regarding the management of records and documents, utilization of the Assembly Records Schedule, and the correct disposal of inactive records
• Assist in the development of training materials and deliver of staff outreach programs,
• Assist in the day-to-day operations of the Records and Document Management Program
• Assist in Freedom of Information (FOI) requests submitted to the Assembly
• Coordinate the conversion of old records into the DocSafe system, our Enterprise Content Management System
• Prepare final retention schedules based on department records analysis, research and classifications
• Maintain accurate information on retention policies, document ownership, record transfers and destructions, classification schemes etc. in the records management module

How do I qualify?

Mandatory

You demonstrate excellence through your:
• Post-secondary education and/or a certificate in Records and Document Management or equivalent working experience in a related field
• Knowledge of current Recorded Information Management (RIM) theories, principles, technology, emerging trends and best practices (including FIPPA and FOI)
• Demonstrated experience in developing file classification schemes and file plans
• Ability to work independently and in a team environment
• High quality standards and strong attention to detail
• Strong report writing, research and presentation skills
• Demonstrated communication skills
