Job Description
|
Major Responsibilities:
- Coordinates and inputs daily timesheets into corporate computerised payroll/absentee system in regards to departmental cost centre changes, attendance, WSIB, lieu time, overtime, acting pay, service pay, extended work schedules, kilometres, parking expenses, reimbursement for meal allowances, medical notes.
- Verifies and distributes payroll statements and makes arrangements for cancelled/replacement statements.
- Responds to enquiries regarding collective agreements, payroll and personnel matters. Verifies, tracks and resolves payroll matters.
- Receives attendance reporting information and prepares/processes payroll information.
- Prepares, maintains and monitors attendance records for salaried and bi-weekly employees. Calculates, verifies and corrects entitlement for vacation and sick bank credits. Prepares summary sheets on outstanding sick claims and doctor’s certification. Calculates and monitors lieu time.
- Prepares various payroll reports, including overtime report, reports on casual employees, annual reports on position status and on employee regarding salary status, alternate rates, increments, and sick bank/vacation/overtime/lieu time balances.
- Distributes forms for United Way programs. Receives forms from participating employees, adds personnel information and forwards to Finance Department.
- Prepares and processes personnel documentation for employees, rehires and layoffs.
- Receives increment, suitability and promotion/evaluation forms for employees. Maintains file for increments and promotion evaluations.
- Maintains payroll/personnel records and files for audit purposes.
- Performs pre-audit and verifies input for accuracy.
- Liaises with other departments, outside agencies.
- Perform ad-hoc tasks as assigned.
Key Qualifications:
Your application must describe your qualifications as they relate to:
- Considerable clerical/administrative experience some of which must relate specifically to the payroll function.
- Considerable experience in the application of collective agreements, city policies, policies, procedures, practices and related legislation.
- Considerable experience using Microsoft Office Suite (e.g. Word, Excel), Payroll System Software (e.g. SAP), and reporting software (Document Direct).
You must also have:
- Ability to work with attention to detail and accuracy needed for payroll and attendance reporting and maintenance of employee records.
- Strong analytical and problem solving skills and the ability to work independently with minimal supervision.
- Knowledge of corporate payroll.
- Fundamental business mathematic skills and knowledge of general statistical techniques, or of accounting procedures.
- Ability to set up and maintain manual and computerized filing systems.
- Ability to meet tight deadlines in a high volume environment.
- Excellent customer service and interpersonal skills and the ability to deal effectively with all levels of staff.
- Excellent communication skills with the ability to compose correspondence and memoranda.
- Ability to exercise independent judgement and discretion when dealing with confidential operational matters.
- Accurate keyboarding and proof reading skills.
