BUREAU OF STANDARDS JAMAICA INVITES APPLICATIONS FOR THE POSITION OF
ADMINISTRATIVE ASSISTANT (TEMPORARY)
Job Summary:The Administrative Assistant is responsible for the effective discharging of the general secretarial, administrative and customer service functions of the Regional & International Office – Trade Secretariat to ensure the Unit’s smooth and efficient operation.
- Provide administrative and secretarial support and assistance to the Regional & International Office – Trade Secretariat
- Receives, transfer, place calls and communicate messages to relevant personnel
- Reproduce printed material, forms, and documents as required
- Prepare draft letters and documentation for internal and external clients
- Maintain a proper filing and recording system (both electronic and manual) to allow for easy retrieval of data
- Prepare draft submissions for the Standards Council
- Assist in the compilation of working documents for the Officers designated for overseas assignment
- Follow-up on action items (initiated by the Supervisor) issued to the various process owners both internally and externally
- Procure, monitor and control the stock of office supplies of stock held by the Unit
- Provide assistance with the preparation and compilation of national and international reports
- Provide logistics and secretarial support for meetings convened by the Supervisor
- Assist in the implementation and maintenance of OSH, Quality and Environmental activities
- Working knowledge of modern office equipment, troubleshooting, practices, and procedures
- Good Minutes and Reporting Writing Skills
- Working knowledge of Records Management Systems
- Good verbal and written communication skills
- Good analytical, stress management and decision-making skills
- Good planning and organizational skills
- Excellent interpersonal human relations and communication skills
- Excellent customer service skills
- Ability to write and proof-read a variety of office communication
- Work well under pressure and manage competing priorities with a high level of accuracy
- Highly confidential and works on own initiative
- Diploma/Administrative Management/Business Administration or CPS
- Advance Computer literacy in Microsoft Office Suite
- Reprographic skills
- Two (2) years experience in an administrative or secretarial position
