The Ashe Company (Ashe) is seeking an 
Executive Assistant

Ashe has been in existence for twenty four (24) years and is a, non-governmental, internationally acclaimed professional théâtre arts and edutainment company that is committed to the preservation and renewal of the Jamaica/Afro-Caribbean culture through song, dance, drama, musical theatre and the use of "Edutainment" (educating while entertaining). The organization is known for entertainment, community transformation, youth empowerment and social development projects. The organization's structure consists of:
  • The Ashe Ensemble that specializes in training, facilitation and performance.
  • The Ashe Academy, a school for training in singing, dancing, acting and drumming to new generations of performers and artistes.
  • The Ashe Edutainment Institute for consultancy, project management and social development training.
Title:                                         Executive Assistant
Terms of duration:                   Ongoing
Reporting line:                          Executive Director
Duty station:                             Main Office

Primary Function: The role of the Executive Assistant is to support the Executive Director in the management of daily administrative, finance, planning and travel related matters.

Specific Duties and Responsibilities:
  • Managing the Executive Directors office including all internal and external correspondence, appointments and meetings. 
  • Managing travel and occasionally travelling with the Executive Director to cover and/or represent at meetings or to provide general assistance during presentations.
  • First point of contact and communication with Executive Director at all levels of seniority.
  • Organizing and maintaining diaries and making appointments.
  • Taking notes and minutes.
  • Ensuring the Executive Director is well prepared for meetings and assignments.
  • Preparation of all the reports on behalf of the management.
  • Coordinating with the ED with all departments, managers, assistance and/or employees.
  • Assist in providing oversight and daily correspondence with the Administrative and Finance Departments.

Key Competencies: Organizational and planning skills; communication skill; finance and procurement knowledge and experience; leadership; information gathering and monitoring skills; problem analysis and problem solving skills; judgment and decision-making ability; initiative; confidentiality; team member; attention to detail and accuracy; adaptability.

Education and Experience: Minimum of First Degree in Cultural Enterprise Management, Business Management or any other related qualification. Experience as an executive administrative assistant, senior executive assistant or in other secretarial position a plus. Comprehension of office management systems and procedures. Knowledge of MS Office and a proficiency in English.
