NATIONAL GUARD MEMBERSHIP IS REQUIRED: This is an excepted service position that requires membership in a compatible military assignment in the National Guard. Selectee will be required to wear the military uniform. Acceptance of an excepted service position constitutes concurrence with these requirements as a condition of employment. Applicants who are not currently a member of the National Guard must be eligible for immediate membership and employment in the National Guard in the military grade listed in this announcement.

As a ADMINISTRATIVE ASSISTANT, GS-0303-5/6/7, you will provide administrative assistance in managing the Management Control Program (MCP). Gather and organize MCP material, establishes a suspense system, and provides accurate information to the Division Chiefs and Managers within the DCSLOG/G4 organization for preparation of their input into the Command MCP. Compile the DCSLOG/G4 input for submission to the CAO. Assist the Division with their role of validating the Army input prior to transmittal of the Annual Assurance Statements to the TAG for signature and final submission to the National Guard Bureau by the established deadline. Coordinate DCSLO/G4 inspections such as NGB-CLRT-X, Army IG, Army Audit Agencies, and other external agencies. Assist in the development of inspection schedules, coordinates with managers, develops inspection areas through analysis of previous inspection results and highlights known vulnerabilities and problem areas. Maintain historical records on all previous external inspections. Coordinate in-briefs and exit conferences. Serve as the DCSLOG/G4 focal point for all personnel actions to include performance evaluations, standards, OER/NCOER, job announcements, and other SF-52 actions. Maintain a register of all pending actions and suspense dates. Review all documents for accuracy, format, and compliance with applicable regulations. Provide research assistance of applicable directives from higher authority, to ensure that no conflict will result from issuance of new policy. Coordinate draft policy with other staff directorates prior to submission for final review and approval. Maintain personal contact with DCSLOG/G4 employees, functional managers (Army), NGB personnel, and state personnel to discuss administrative requirements and services, provide technical advice and guidance, and recommend methods and procedures where necessary. Advise other administrative personnel of latest directives regarding administrative procedures. Provide information, explain the application of regulations and resolve problems with contacts as they relate to administrative functions. Prepare and monitor DCSLOG/G4 appointment/delegation letters for Army National Guard activities. Coordinate with ARNG command elements to ensure delegation and appointment memorandums are current and accurate. Prepare and distribute Financial Activity Manager appointments and other duty appointment assignments. Prepare annual Financial Disclosure forms for appropriate personnel and ensures they are submitted in accordance with established NGB deadlines. Perform duties as DCSLOG/G4 Publications Officer. Coordinate with Army publications sources to accomplish ordering, locating electronic publications, updating the 12 series requirements, and maintaining a current and complete publications library for the DCSLOG/G4 organization. Serve as the Records Management Coordinator for the DCSLOG/G4 organization. Ensure all subordinate divisions maintain official files in accordance with the Modern Army Record-keeping System (MARKS). Provide instruction to personnel in the DCSLOG/G4 to ensure the MARKS program is executed properly. Receive visitors and telephone calls for the DCSLOG/G4 organization. Based on a working knowledge of the DCSLOG/G4 activity, exercise judgment in screening those calls or visitors that can be handled personally or must be referred to other command staff personnel or DCSLOG/G4 divisions. Determine when the DCSLOG/G4 Logistics Management Specialist should be interrupted. Personally takes care of business matters and gives out administrative and readily available substantive information to callers. Accomplish travel arrangements for the DCSLOG/G4.
