Duties

This position is located within the Engineering Service at VA Medical Center in Fargo, North Dakota. The Administrative Support Clerk (Office Automation) reports directly to the Maintenance & Repair Foreman and is responsible for receiving and directing service requests and work orders for the Engineering, Biomed, Logistics, and Environmental Management Services.
Major duties and responsibilities include, but are not limited to, the following:
  • Serves as the main point of contact for service requests, etc. in Maximo and VISTA computer systems;
  • Assists staff in navigating system, entering requests, etc;
  • Maintains current and new user provision requests;
  • Codes and transfers work orders based on content;
  • Tracks and completes Corrective Maintenance (CM) and Preventative Maintenance (PM) work orders;
  • Runs reports on work performed and costs incurred;
  • Ensures CM and PM work orders are completed in a timely manner;
  • Creates PM schedules for equipment and facilities;
  • Maintains inventory of building service, life safety, and other equipment in Maximo and VISTA systems;
  • Gathers location data from AutoCAD and construction plans and generates location bar codes;
  • Uses computer programs/equipment to produce reports, correspondence, research electronic documents, and communicate via email (Microsoft Excel, Word, Outlook, Adobe Acrobat);
  • Sorts, enters, and files purchase order requests;
  • Answers phone calls and assists customers;
  • Organizes and restocks office supplies;
  • Performs other related duties as assigned.

Work Schedule: Monday thru Friday; 8:00 am - 4:30 pm.
