The Registrar General's Department, an Executive agency, the sole repository of records in Jamaica, invites application from suitably qualified persons for the following position:


Administrative Assistant
(Grade 5 - Mid) - vacant
Savanna La Mar Regional Office
Salary range: $1, 015, 829.78 - $1, 204, 987.73 per annum

Reporting to the Parish Officer, the incumbent has the responsibility to provide administrative support to the Manager and the staff of the Regional Office to facilitate the achievement of the objectives and functions of the office.

Main Responsibilities:
  • Prepares agendas and takes minutes of meetings
  • Processes incoming correspondence
  • Receives, makes or screens telephone calls as required
  • Makes and confirms appointments on behalf of the staff and follows up when necessary
  • Assists in gathering data producing weekly/monthly regional reports
  • Monitors service on all contracts for utilities, janitorial, security, courier, etc.
  • Maintains leave of absence forms and attendance register
  • Drafts documents, example deed polls
  • Coordinates Registry Weddings
  • To develop and maintain an efficient filing system

Qualifications and Experience:
  • Four (4) GCE 'O' level/CXC subjects including English Language and Mathematics or Accounts
  • Certificate in Management Studies, Public Administration or equivalent qualification/training

or
  • Diploma from a recognised secretarial institution/Certified Professional Secretary/Certified Administrative Professional
  • Two (2) years related work experience
  • Excellent decision making and problem solving skills
  • Strong attention to details
  • Excellent oral and written communication skills
  • Must possess a high level of integrity
  • Must possess excellent human relations skills
