JOB DUTIES AND RESPONSIBILITIES:
- Manage the President and CEO’s electronic Calendar in an efficient and effective manner.
- Organise and execute monthly customer visits for the President and CEO to maintain/ create business relationships.
- Organise and execute Strategic Business Unit/Branch/Department visits to engage Team Members as part of the VM Group’s continuous listening strategy
- Coordinate the collection and circulation of monthly reports to the Board of Directors, Executive and Senior Management Committees, ensuring that established timelines are met.
- Coordinate with the Group’s Legal and Compliance and Corporate Secretarial Department the required regulatory forms and related documents for completion and submission by the President and CEO.
- Act as chief liaison with the Board of Directors on behalf of the President and CEO.
- Coordinate the preparation of the President and CEO’s direct reports interim and annual Performance Management evaluations, ensuring that established timelines for submission to Group Human Resources are met.
- Provide project support and monitor timelines for project deliverables to ensure timely completion as assigned.
- Develop and coordinate vacation leave roster for the President and CEO’s direct reports.
- Arrange business travel (overseas & local) for the President and CEO and Senior Executives including the booking of hotel reservations and coordination of meetings.
- Coordinate and execute arrangements for Strategic Planning Sessions.
- Handle all incoming correspondence and telephone calls to the President and CEO’s office in an efficient and timely manner.
- Prepare all general correspondences and letters required by the President and CEO’s office.
- Prepare reports using data analysis tools.
- Prepare expense report and present to the President and CEO for reimbursement.
- First Degree from a recognised tertiary institution
- Advanced Administrative Professional Training
- At least ten (10) years experience as an Administrative Professional, three (3) of which should be at Senior Executive level.
- CPS /Certified Administrative Professional (CAP) or equivalent.
KNOWLEDGE and SPECIAL SKILLS:
- Knowledge and understanding of the Society’s operations.
- Knowledge of Proceeds of Crime Act (POCA)
- Knowledge of Office Administration and Record Management
SPECIFIC SKILLS AND COMPETENCIES REQUIRED:
- Excellent oral, written and listening skills
- Ability to plan and organise effectively
- Ability to work under pressure and meet deadlines
- Ability and willingness to work on own initiative and with minimal supervision
- Flexible and adaptable to changes
- Detailed oriented and results focused
- Ability to work in a dynamic, fast paced environment
