Duties
The incumbent in this position serves as a Special Events Assistant in the Special Events Unit, Office of External Affairs (OEA), National Museum of African American History and Culture (NMAAHC) and is responsible for assisting with planning, scheduling, logistical preparation and conduct of special events, receptions, exhibition openings, conferences, ceremonies, membership and fund-raising activities, and/or visits by high level officials both nationally and internationally. Duties and responsibilities include:
- assisting NMAAHC staff, SI staff, and external requesters with scheduling and designing events and receptions that fulfill the mission, ceremonial, philanthropic, or celebratory purposes of the requestors;
- writing and disseminating event memoranda to NMAAHC departments, other SI offices for security, facilities maintenance, and audio visual services, and vendors and other external organizations;
- consulting with the NMAAHC Collections/Curatorial staff on special measures necessary to protect artworks in event and preparation areas and ensuring these measures are communicated to all personnel engaged in event activities;
- serving as a liaison between NMAAHC and Smithsonian offices and outside organizations seeking to use museum facilities for special events;
- initiating and tracking purchases on the Smithsonian SFS accounting system; and
- drafting a budget for each event, to include, depending on the event plan, catering, special furniture and décor rental, invitation printing, entertainment, SI services such as security, facilities maintenance, and audio visual support.
