Duties

The duties described are for the full-performance level. At developmental grade levels, assignments will be of more limited scope, performed with less independence, and limited complexity.

As a Secretary (OA), you will:

• Screen calls and visitors, referring them to the appropriate staff member or office, handling some personally, and forwarding to supervisor only those calls or visitors requiring attention.
• Read incoming correspondence, assembling background information before routing mail and other incoming items to supervisor, appropriate person or office.
• Review outgoing correspondence for the supervisor's signature for proper format, conformance with procedural instructions, correctness of grammar, typographical accuracy, necessary attachments, and appropriate coordination, working with authors to resolve problems.
• Tentatively schedule appointments and make commitments for supervisor to attend meetings and other events. Setup and maintain data calls for Director, Deputy Director & Chief of Staff.
• Respond to requests for information, ad hoc, and recurring reports by independently extracting data from a variety of sources and compiling statistics for use in a clear and easily understandable end product.
• Conduct periodic training to update personnel throughout office on administrative procedures, and recommend changes as necessary.
• Schedule travel for Director, Deputy Director & Chief of Staff.

Qualifications

GS-05: You qualify at the GS-05 level you must possess one (1) year of general experience, which is equivalent to the GS-04 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties:

• Entering information into a computer system;
• Answering routine questions from other employees and directing their inquiries to the appropriate party; and,
• Distributing information to appropriate personnel.

OR

• You may substitute a bachelor's degree or 4 years of successfully completed education above high school; and/or combinations of successfully completed post-high school education (in excess of the first 60 semester hours). The education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.

GS-06: In Addition to the requirements at the lower grade level(s), to qualify at the GS-06 level you must possess one (1) year of specialized experience, which is equivalent to the GS-05 level in the federal government, that equipped you with the skills needed to successfully perform the duties of the position. You must have experience performing the following duties:

• Receiving incoming correspondence, screening material prior to distribution, establishing controls, and following up with the supervisor;
• Preparing correspondence, reports, and similar material;
• Receiving visitors and phone calls to the office, ascertaining the nature of requests and directing callers to appropriate staff;
• Reviewing correspondence prepared for the supervisor, checking for spelling, typographical errors, conformance to formats, and procedural requirements;
• Requisitioning office supplies, equipment, and publications; and,
• Scheduling appointments and making arrangements for meetings.

General Office Skills: You must possess knowledge of general office automation software, practices and procedures.

Residency Requirement: There is a residency requirement for all applicants not currently employed by U.S. Citizenship and Immigration Services. This residency requirement states that candidates must have, for three of the last five years immediately prior to applying for this position; (1) resided in the United States; OR (2) worked for the United States Government as an employee overseas in a Federal or Military capacity, OR (3) been a dependent of a U.S. Federal or Military employee serving overseas.
