Consider this important role and an opportunity to develop and showcase your skills. The Victims and Vulnerable Persons Division seeks a motivated person to be the first point of contact for the Victim/Witness Assistance Program (VWAP).

You will provide clients with program and services information. You will also provide assistance and a full range of administrative services in a fast paced environment.

Please note: This position is part-time (18.12 hours/week) with a work schedule of Monday to Friday.

What can I expect to do in this role?

In this role, you will:

• respond to and record inquiries, referring issues to appropriate staff
• receive and review incoming files and materials to determine priorities
• establish and maintain office filing systems, data input
• extract and format data, prepare statistics and routine correspondence
• maintain reception area, waiting room and office equipment
• arrange meetings and coordinate appointments
• assist in training and orientation of new staff

How do I qualify?

Oral, Written Communication and Interpersonal Skills:

• You have oral communication, interpersonal skills and application of judgement, tact, sensitivity and diplomacy to deal with clients who may be emotional, upset or in crisis situations and provide them with appropriate customer service, community resource information and support.
• You can provide appropriate information in response to routine and non-routine enquiries to explain legal terminology and provide factual information about services
• You have written communication skills to prepare routine correspondence.
• You can proofread written communications for accuracy in content, grammar, spelling, sentence structure, punctuation and format.

Organization Skills:

• You have organizational skills to prioritize daily work, organize information in case files, maintain, input and revise electronic, manual and bring forward filing systems.
• You can arrange meetings and maintain appointment schedules.

Technical Knowledge:

• You can interpret and apply legislation to respond to general enquiries from clients about court procedures, events and sequences, legal terminology in court documents and meaning of court language.

Analytical and Problem Solving Skills:

• You have analytical and problem solving skills to review incoming mail and domestic briefs, retrieve court documents, flag/ prioritize information and search for supporting background documents from the Crown, police and probation.

Other Essential Skills:

• You have knowledge of personal computer and office software operations such as word processing, spreadsheet applications to prepare correspondence, input data and collect information for statistical reporting.
• You have the ability to work effectively within a team environment.
• You can type to 50 words per minute.
