Executive Assistant to the National Office in Montego Bay.
The Executive Assistant is responsible for providing professional administrative support to ensure that the national office operates in an organized, efficient and professional manner. The Executive Assistant provides the necessary skills to work effectively with national director, function advisors, staff, board and external stakeholders to accomplish the strategic goals of the association.
Requirements and Qualifications:
At least two to three (2 - 3) years of experience working in Executive Administrative roles, preferably at the executive level in an NGO; Bachelor's degree preferred in Administration, Project Management and Business. Proficient in Microsoft Office Suite (Outlook, Word, Excel and PowerPoint), non-profit or customer oriented background preferred.
Required knowledge and skills:

- Experience in administrative and operational support or customer services
- Ability to self-start, work independently and achieve high standards to meet multiple deadlines
- Excellent time-management skills with the ability to simultaneously manage multiple projects and meet deadlines
- Highly proficient in the use of internet and standard software such as MS Excel, Word, PowerPoint, Outlook, etc; as well as virtual collaboration tools
- Excellent communicator, including report writing, public speaking, editing, proofreading and computer skills
- Strong calendaring, organizational and document management skills
- Work effectively with staff in a team-oriented environment with a positive, can-so attitude
- Fluency in English both verbally and in written in form, additional languages (Spanish) an asset
- Strong customer service mind-set combined with networking abilities, interpersonal skills and intercultural understanding
- Able to handle stress in a positive manner
- Knowledge of national child welfare system, Child Rights and Protection Act
- Ability to travel within and outside of Jamaica
- Driver's license an asset
- Works closely and effectively with the National Director to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer", having a sense for issues taking place in the environment and keeping the ND updated.
- Work closely with the function advisors to build a cohesive team while ensuring smooth work follow/coverage in their absence
- Coordinates executive and management meetings, including attendee management, materials preparation, room set-up and issue resolution
- Composing and preparing correspondence that is often confidential; arranging complex and detailed reports, travel plans, itineraries, and agendas; compiling documents for travel related meetings
- Provides support in building relationships crucial to the success of the organization, and manages a variety of special projects for the programmes, some of which may have organizational impact
- Other responsibilities and duties assigned and related
