FUNCTION: Supply - Logistics and Customer Service

REPORTS TO:     Outbound Logistics Team Leader

JOB PURPOSE

This job entails the daily execution of warehouse and inventory related transactions both physically and systematically ensuring proper handling, storage and preservation of stocks are maintained. This includes receiving, stacking, verifying, coordinating and executing transfers and issuing of stocks, processing documentation and updating the SAP accordingly.   All out-going sales order fulfillment for inbond (Duty-Free), domestic and export shipments are accurately process in conformance to the company’s and other regulatory procedures.

KNOWLEDGE and EXPERIENCE

• Diploma in Business Administration, Logistics and Supply Chain Management or Operations Management.
• Three (3) years’ experience warehousing, sales or logistics environment.
• Two years operating MHE (Material Handling Equipment) used within the operational environment.
• Knowledge of Inventory/Warehouse controls and weights and measurement
• Knowledge of Trade, Customs and Excise Regulations
• Experience in using SAP
• Proficient in Microsoft Word and Excel
• Forklift Certification

RESPONSIBILITIES   

WAREHOUSE MANAGEMENT

Monitors, records and signs for all incoming goods from Packaging and Spirits Plant to ensure conformity to the required standard by observing the following:

• Proper packing patterns (pallet configuration) and storage suitability (pallets quality and type).
• Adequate product identification i.e. Lot number, bottling date, size and marks.
• Physical storage practices are observed (only one BBE date per storage bin).
• Only full cases are received and stored.
• Ensures conformance to MSDS of inventory materials stored
• Timely and accurate completion of transactions in SAP (goods receipts, goods issues for sleevings, and transfers) in accordance to the department’s standard operating procedures.

Accurately and timely processing of all forward logistics inventory related transactions (SAP and physically) due to both domestics and export customers. That is:

• Pick and issue items according to orders ensuring accuracy, completeness and timeliness of all orders in accordance to quality standards; taking into account:

o The First in First to Expire picking strategy
o The correct storage location
o The operations batch management practices
o The relevant quality approval status
o In accordance to the customers requested delivery date.
o Heinekens Freshness Policy

• Ensures that documents are completed and updated with the relevant information as per procedure.
• Performs pre-shipment checks for outgoing shipments by ensuring that the correct item, quantity, lot number, market and location are recorded
• Performs thorough cycle counts and stock counts as per established frequencies, investigate and solve variances and report where quality checks are needed (for products with limited shelf life).
• Ensure that breakages/damages/non-conforming items are recorded and repaired, where possible.
• Maintain set housekeeping standards including; back filling, organizing and consolidation of short fill pallets.
• Adheres to the implemented 5S standards as per Team Leaders directive.

FLEET MANAGEMENT

Material Handling Equipment - Keeps equipment clean and perform non-technical maintenance functions by checking the brakes, horn, battery level, lift and surface on a daily basis. Promptly reports any malfunction or concern with MHE to Team Leader. Completes form as per standard and submit to Ameco.

Trailers - Ensure trailers or flatbeds are checked by Ameco each instances before being loaded. Communicate to Team Leaders defects identified and ensure unit(s) is not utilized until issues have been resolved.

Ensures compliance to processes and standards governing all Outbound Logistics activities. Flag up gaps identified in processes to Outbound Logistics Team Leader and make recommendation(s) for improvement.

SERVICE PROVIDER MANAGEMENT

Assists with the assessment of third party service providers’ performance against the relevant Service Level Agreements (SLA’s).

SAFETY, HEALTH AND ENVIRONMENT AND QUALITY

Ensures adherence to Heineken’s Life Saving Rules; support the Outbound Logistics Team Leader in implementing and maintaining the department’s SHE agenda while ensuring full adherence and compliance by all contractors and visitors to the department. Ensures accurate capturing of data and support of the departments Aspect and Impact, HACCP, Food Safety Management Systems and CT-PAT protocols.

TRADE, CUSTOMS AND EXCISE LAWS

Ensures compliance to local and international laws governing movement of goods for sale (domestic and export).

CUSTOMER RELATIONSHIP MANAGEMENT

Supports the creation of valuable business relationship with new and existing customers through the provision of optimum customer service by ensuring accurate and timely responses to requests for information.

COMPLAINT MANAGEMENT

All complaints must be received and managed to resolution with strict adherence to the Consumer/Customer Complaints Management Process.

OPERATIONAL EXCELLENCE

Continuously improve picking and processing efficiency and adapt early to changes throughout the operation.

PROJECTS

Excellence in execution of the Trailer Cycling Project and supports the successful completion and or implementation of other projects.
COST AWARENESS AND BUDGET RESPONSIBILITIES

Support the management of the Outbound Logistics budget. Initiate discussions with Line Manager and champion transactions, within scope, that will result in cost avoidance.
